2026 AIOP Awards – Terms & Conditions
These Terms and Conditions ("Terms") apply to all nominations submitted for the 2026 AIOP Awards ("Awards") conducted by the Australian Institute of Office Professionals (AIOP) ("Organiser"). By submitting a nomination, both nominators and nominees ("Entrants") acknowledge that they have read, understood and agree to be bound by these Terms.

2. Eligibility
2.1 Entry is open to individuals aged 18 years or over who are legal residents of Australia and are employed in an administrative, executive support, business support or office professional role.
2.2 Employees, Directors and Board Members of AIOP, members of the judging panel, and any individuals directly involved in administering the Awards are not eligible to enter.
3. Entry Process
3.1 Nominations must be submitted via the official online nomination form by 5:00pm AEST on Monday, 31 August 2026.
3.2 All required fields must be completed. Incomplete, illegible, inaccurate or late nominations may be deemed invalid at the sole discretion of the Organiser.
3.3 Self-nominations and third-party nominations are accepted.
3.4 Entrants are responsible for ensuring that all information provided is true, accurate and complete. The Organiser reserves the right to request additional information or supporting documentation to verify any nomination.
3.5 Where a nomination is submitted on behalf of another person, the nominator confirms they have obtained the nominee's consent to submit the nomination and provide their personal information for the purposes of the Awards.
4. Judging and Selection
4.1 All eligible nominations will be assessed by an independent judging panel appointed by the Organiser.
4.2 Judging criteria will be determined by the Organiser and may include, but is not limited to, leadership, innovation, initiative, collaboration, performance, impact and contribution to the profession.
4.3 The Organiser reserves the right to verify the eligibility and authenticity of any nomination.
4.4 All judging decisions are final and binding. No correspondence, feedback or appeals will be entered into.
4.5 The Chair of the Judging Panel retains the authority to review and, where necessary, veto a judging outcome in order to preserve the integrity and reputation of the Awards.
4.6 The judging panel reserves the right not to present an award in any category if, in its opinion, no nomination meets the required standard of excellence.
4.7 The Organiser will take reasonable steps to identify and appropriately manage any actual, perceived or potential conflicts of interest involving members of the judging panel.
4.8 All judging deliberations, scoring, comments and assessment materials remain confidential and will not be disclosed to entrants.
4.9 The Organiser reserves the right to amend, merge, divide, rename or withdraw any award category where it considers it necessary to maintain the integrity or viability of the Awards.
5. Awards and Prizes
5.1 Winners will be announced at the 2026 AIOP Awards Gala Dinner on Monday, 26 October 2026, and may also be announced via email, the AIOP website and social media channels.
5.2 Awards, trophies and prizes are not transferable, exchangeable or redeemable for cash unless otherwise stated by the Organiser.
5.3 The Organiser accepts no responsibility for any variation in the value, availability or nature of any prize.
5.4 Failure to accept an award or prize within the timeframe specified by the Organiser may result in the award or prize being forfeited.
6. Publicity, Intellectual Property and Consent
6.1 By submitting a nomination, Entrants consent to the Organiser using their name, organisation, award category, biography, nomination excerpts and any photographs or supporting material submitted as part of their nomination for promotional, editorial and media purposes in connection with the Awards.
6.2 Entrants acknowledge that nomination materials may be edited, summarised or adapted by the Organiser for promotional or publication purposes.
6.3 Entrants warrant that all information and supporting material submitted is their own or has been provided with the appropriate permission, and that its use does not infringe the intellectual property or other rights of any third party.
6.4 Photography and Videography
The Awards Gala Dinner is a public event at which photography, videography and audio recordings may be captured by the Organiser and its authorised representatives. By attending the Awards, entrants, finalists, guests and attendees acknowledge and consent to being photographed, filmed and/or recorded.
The Organiser may use, reproduce, publish and distribute this material for promotional, marketing, educational and archival purposes across print, digital, social media, websites, media releases and future event promotions without further notice or compensation.
If an attendee has a genuine privacy, safety or legal reason for not appearing in photographs or video recordings, they should notify the Organiser in writing prior to the event. While the Organiser will make reasonable efforts to accommodate such requests, it cannot guarantee that attendees will not appear incidentally in event photography or video footage.
7. Privacy
7.1 Personal information collected through the Awards process will be managed in accordance with the Privacy Act 1988 (Cth) and AIOP's Privacy Policy.
7.2 Personal information will be used for administering the Awards, communicating with entrants, announcing finalists and winners, and other purposes directly related to the Awards.

8. Disqualification and Withdrawal
8.1 The Organiser reserves the right to disqualify any entrant who it reasonably believes has:
- breached these Terms;
- provided false, misleading or incomplete information;
- engaged in fraudulent, unlawful or unethical conduct; or
- acted in a manner likely to bring the Awards or AIOP into disrepute.
8.2 The Organiser may withdraw an award or finalist status at any time if subsequent information demonstrates that an entrant was ineligible or engaged in conduct inconsistent with the values or integrity of the Awards.
9. Liability and Indemnity
9.1 To the fullest extent permitted by law, the Organiser will not be liable for any loss, damage, injury, expense or claim arising from participation in the Awards or the acceptance or use of any prize.
9.2 Entrants agree to indemnify and hold harmless the Organiser, its officers, directors, employees, volunteers, contractors and judges from any claims arising from their participation in the Awards or any breach of these Terms.
10. General
10.1 The Organiser reserves the right to amend these Terms and Conditions, modify the Awards program, judging process, categories or timelines, or cancel the Awards where reasonably necessary. Any material changes will be published on the official Awards website.
10.2 Force Majeure
The Organiser will not be liable for any delay, postponement, modification or cancellation of the Awards arising from circumstances beyond its reasonable control, including but not limited to natural disasters, public health emergencies, government restrictions, industrial action, venue closures, technical failures or other unforeseen events.
10.3 Governing Law
These Terms and Conditions are governed by the laws of New South Wales, Australia. Any dispute arising from these Terms will be subject to the exclusive jurisdiction of the courts of New South Wales.
